This Privacy Policy explains how ManualHandlingIreland.ie ("we", "us", "our") collects, uses and protects your personal data when you use our website and services at https://manualhandlingireland.ie.

We process personal data in line with the General Data Protection Regulation (GDPR) and the Irish Data Protection Act 2018.

We are the data controller for the personal information described in this policy.

2. What information we collect

We collect only what we need to deliver training, assess it and issue a certificate:

  • Identity and contact details: full name, email address, phone number and postal address
  • Employer or organisation, where the booking is made by an employer
  • Course data: modules viewed, language chosen, test answers, scores and completion dates
  • Practical assessment recordings: the video you record or upload of yourself performing a lift, and the scores and feedback produced from it
  • Photographs: the portrait photo you take or upload when you order a printed ID card
  • Certificate records: certificate number, issue date, expiry date and verification status
  • Delivery details for printed cards
  • Payment records: the amount, date, status and reference of your purchase (we never receive your full card number)
  • Technical data: IP address, browser and device information, and basic usage and error logs

We do not ask for special category data such as health information. Please do not include health or medical details in messages or recordings you send us.

3. How we collect it

We collect personal data when you book a course, complete modules and tests, submit a practical recording, order a printed card, contact us, or simply browse the site (technical data only).

4. How we use your information

  • To register your booking and give you access to your course
  • To deliver the training and record your progress
  • To assess your theory test and your practical recording
  • To produce, issue and post your certificate and printed ID card
  • To allow third parties to verify a certificate using its code or QR code
  • To send service emails such as access links, results, delivery confirmations and expiry reminders
  • To take payment and keep accounting records
  • To provide customer support and handle complaints
  • To keep the platform secure and prevent fraud or misuse
  • To improve our courses and the website

We do not sell your personal data and we do not use it for advertising.

5. Certificate verification and what is public

Certificates carry a code and a QR code so an employer or site can confirm they are genuine. Anyone with that code can see the holder's name, the course, the issue and expiry dates, the assessment result and, where a printed ID card was issued, the card photo.

Nothing else is shown, your certificate is not listed in any public directory or search engine, and the code is only available from your own certificate or card.

6. Assessment of your recording

Where your course includes a practical assessment, your recording is reviewed and scored by our certified instructor for back alignment, knee bend and how close the load stays to your body. The result determines whether you pass or are asked to retake the assessment.

If you have any question about your result, you can contact us at any time and our instructor will look at your recording again.

7. Legal bases for processing

Contract — to deliver the course, assess you, issue and post your certificate or card, and take payment.

Legitimate interests — to keep the platform secure, prevent fraud, keep an audit record of assessments so certificates can be relied on, and improve our services. We balance these against your rights.

Legal obligation — to meet tax, accounting and other statutory requirements.

Consent — where we ask for it separately, for example for optional marketing emails. You can withdraw consent at any time.

8. Who we share it with

We use trusted providers who process data on our behalf under written agreements:

  • Our payment provider, which processes your payment and holds your card details — we never see them
  • Our cloud hosting and database provider, which stores the platform data, recordings and photos
  • Our email delivery provider, which sends your access links, results and reminders
  • Print and postal partners, which produce and deliver printed ID cards

Where an employer pays for your training, we may confirm to that employer that you completed the course and share your certificate and its expiry date.

We may also disclose data where we are legally required to do so.

9. International transfers

Data is stored within the European Union wherever possible. Some providers may process data outside the EEA; where that happens we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses or an adequacy decision.

10. How long we keep it

  • Training and certificate records: for the life of the certificate and for a period afterwards so that historic certificates can still be verified
  • Practical assessment recordings: kept as evidence of assessment while the certificate is valid, then deleted
  • ID card photographs: kept while the card is valid so a replacement can be produced, then deleted
  • Payment and accounting records: for the period required by Irish tax law
  • Support correspondence and technical logs: for a limited period only

You can ask us to delete your recording or photograph earlier; we explain below what that means for your certificate.

11. Security

We use secure hosting, encrypted connections (HTTPS), access controls and role-based permissions. Recordings and photographs are held in private storage and are not publicly accessible — they are opened only through short-lived secure links for you and for our assessors. No online service can be guaranteed to be completely secure, but we take these obligations seriously.

12. Your rights

You have the right to:

  • Access the personal data we hold about you
  • Have inaccurate data corrected
  • Request erasure of your data
  • Restrict or object to processing
  • Receive your data in a portable format
  • Withdraw consent where our processing relies on it
  • Ask for your assessment to be reviewed again by our certified instructor

Please note that if you ask us to delete your assessment recording or certificate record, we may no longer be able to verify that certificate to an employer.

To exercise any of these rights, email privacy@manualhandlingireland.ie. We respond within one month.

You can also complain to the Irish Data Protection Commission at dataprotection.ie.

13. Cookies

We use only the cookies and local storage needed to run the site — keeping you signed in to your course, remembering your chosen language, and protecting against fraud — together with basic performance and error monitoring. We do not use advertising or cross-site tracking cookies.

14. Children

Our courses are intended for people aged 18 and over, or for younger workers enrolled with the permission of their employer or guardian. We do not knowingly collect data from children.

15. Changes to this policy

We may update this policy from time to time. The current version is always published on this page with the date it was last updated.
